Terms and Conditions
Please review these Terms and Conditions thoroughly. They outline our mutual responsibilities and establish the basis of your agreement with us.
In these terms and conditions, "you" refers to you and all individuals listed on the booking voucher (including anyone who may be added or substituted at a later date), while we, the company, and "us" refer to Samora Africa Safaris. If circumstances beyond our control arise, these Terms and Conditions may be updated to align with the applicable situations.
1. Communication with us
A). All communication with Samora Africa Safaris during the booking process will be via email, phone calls, WhatsApp chat, or any other approved company social media platform. To be clear, the official email addresses of Samora Africa Safaris are info@samoraafricasafaris.com and samoraafricasafaris@gmail.com.
The company's official telephone number you can directly reach us is +256771190026. This same number is on messaging apps like WhatsApp, Telegram, and Signal.
B). The company takes no responsibility for any losses incurred due to noncompliance with the communication procedures indicated in 1A.
2. Booking confirmation and Payment Terms
A). Once you have decided to travel with Samora Africa Safaris, we will provide you with an invoice that indicates the total amount agreed upon for payment. You will execute the deposit as stipulated, and the payment will confirm your booking with us. You will receive a booking statement from us that outlines the reservation details.
B). Your booking with Samora Africa Safaris is confirmed once we receive full payment for the gorilla and chimpanzee tracking permits and a deposit of at least 30% of the remaining tour price. The remaining 70% balance is due 30 days before the safari starts. If the safari package does not include tracking primates, a 40% deposit payment is required to confirm the booking with us.
C). For safari packages booked less than 60 days before the start date, full payment of the total tour price is required unless otherwise agreed upon via email.
D). Payments should be made directly to the company's account via bank transfer, RTGS, or cash deposit. The company permits online payment via its partners such as Pesapal; however, this mode of payment attracts about 3-4% charges.
E). All tour quotes are in USD; therefore, payment should also be in USD. All transaction charges, such as bank or transfer charges are the client's responsibility.
F). All extra costs arising during the safari, such as charges for optional activities and additional services, must be settled immediately upon request.
G). Modifications to confirmed bookings are subject to availability and may attract additional charges. However, any request made for significant changes within 21 days before the safari departure date may not be allowed.
H). The company reserves the right to adjust quoted prices if circumstances necessitate an increase to ensure the successful execution of the safari. An increase in the quoted price may result from abrupt adjustments in charges or taxes imposed by governments and tourism regulatory bodies, as well as price hikes from our service providers.
I). Samora Africa Safaris reserves the right to decline a booking or cancel a safari at its discretion without providing a reason. In such cases, the company will refund your deposit following the company's refund policy.
3. Cancellations by you or us, and any associated refunds
3.1). Cancellation by you
If you or any member of the Safari team opts to cancel, please inform us in writing. The cancellation will only be legitimate once we receive written confirmation via email.
The following are the cancellation charges and the corresponding refunds:
A. Fully paid trip
· 60+ days before departure will incur a 40% charge
· 35-59 days before departure will incur 40% charge
· 1-30 days before departure will incur 100% charge
B. Partially paid trip (Deposit)
Cancelled bookings secured with a deposit shall incur a 100% charge with no refund.
Note: Payments for gorilla and chimpanzee tracking permits are made directly to the government’s consolidated fund. Refunds are governed by the government’s stringent terms and conditions, making these payments nearly nonrefundable.
Refunds, therefore, are determined by subtracting any non-refundable fees for gorilla and chimpanzee tracking permits (where applicable), deposits, and payments already made to all service providers before the cancellation request.
3.2. Cancellation by the Company
A. The company will cancel a booked safari only in unavoidable situations, such as outbreaks of natural disasters, an epidemic, political instability, or any other cause considered Force Majeure, making the execution of the safari inadvisable and impossible.
In such cases, we will provide a comparable alternative safari. However, if the alternative safari is more expensive, we will ask you to cover the additional cost.
B. If you choose a refund instead, the company will process it, subject to deductions for permit fees (where applicable), deposits, and any expenses already paid to service providers before the cancellation.
C. The company regrets that it cannot provide compensation for any expenses, costs, or losses incurred in the event of cancellation. For this reason, we strongly advise you to secure travel insurance to cover such unforeseen cancellations.
4. Reduction in the duration of safari
If you or any member of the Safari team opts to reduce the duration of the safari from the previously booked, cancellation fees will apply.
5. Management of Safaris
A. We carefully select our service providers. Nevertheless, we cannot be held liable for any errors committed by independent third-party providers, including but not limited to transporters, restaurants, and accommodation owners.
B. Our goal is to provide you with exceptional and unforgettable wildlife encounters. However, due to the unpredictable nature of wildlife, we cannot guarantee animal sightings of specific animals, particularly the rare ones.
C. While we ensure all vehicles are well-maintained and roadworthy, we cannot be held responsible for mechanical breakdowns, delays, or any resulting inconveniences.
D. We cannot be held responsible for personal or property loss, damage, or injury. We highly advise that you secure insurance coverage for such unforeseen situations.
6. What’s expected of you
A. You must ensure you have all necessary travel documents required by the host country. We recommend consulting your travel advisor for specific requirements. Please note that we shall not be responsible if you are denied entry or are unable to stay in any host country.
B. Always follow the safety instructions provided by your guides and park rangers, and refrain from any interactions that could be dangerous to you and the wildlife. The company will not be liable for any injuries sustained on the safari.
C. Please inform the company of any dietary restrictions or medical conditions at the time of booking.
D. During your safari, you must behave responsibly. The company reserves the right to terminate the tour immediately if your behavior is disrespectful toward staff or local communities, disruptive to other guests, or damaging to the company’s reputation.
7. Dispute Resolution and Applicable Jurisdiction
In the event of any disputes, resolution will be sought first by mutual negotiation. Failure to agree mutually, the matter will proceed to the courts of law. Ugandan laws govern all the contracts and tour packages booked with the company.
